Calendar

The Calendar is your schedule and the first page you land on. It shows your appointments in Day, Week, and Month views, surfaces the day's key numbers, and opens a full dossier for any appointment so your team is ready before the patient arrives.

The three views

Switch views from the buttons at the top of the page:

  • Day — the default. A column-by-column grid of today’s appointments, organized by provider or by operatory.
  • Week — the next 7 days at a glance, with a per-day overview you can open.
  • Month — the whole month, with each day color-coded so you can spot busy and light days.

How to switch views

  1. At the top of the Calendar, choose Day, Week, or Month.
  2. In Week or Month, click Glance to show or hide the overview strip across the top.

The KPI rail

On the left of the Calendar you’ll see a rail of key numbers for the day:

  • Production captured — the value of the appointments on the schedule.
  • Projected vs goal — how the day is tracking against your target.
  • Day progress — how far through the day you are.
  • No-shows today — patients who didn’t arrive.
  • New patients today — first-time patients on the schedule.
  • Same-day opps — openings you could still fill today.
Good to know: In **Week** and **Month** views, the rail switches to numbers for that period.

Reading the schedule

Each appointment block is colored by its provider (or operatory) and carries small flags so you can see what needs doing at a glance. Flags fall into groups:

  • Red · Critical — things that must be fixed before the visit, such as Unconfirmed, Eligibility failed, Lab not arrived, or Medical alert needs confirmation.
  • Yellow · Attention — things worth a look, such as Forms incomplete, Outstanding balance, Pre-auth pending, Anxiety flag, New patient, or Big case · TC coordinator.
  • Green · ELVA handled — already taken care of, such as Eligibility verified, Forms complete, Confirmed by patient, or Reminder acknowledged.
  • Context — helpful background, such as Birthday today or VIP / top referrer.

An appointment’s status appears as a small badge — for example Confirmed, Checked in, Arrived, In treatment, Completed, Scheduled, Pending, No show, Broken, or Rescheduled.

Day options

The Options drawer lets you tailor the Day view to how your team works.

How to change day options

  1. At the top of the Calendar, click Options.
  2. Set View mode to Provider or Operatory to organize the columns.
  3. Set Time density to control the spacing between time slots — Small, Medium, or Large.
  4. Use Production threshold to show only appointments at or above a dollar value.
  5. Use the quick filters Red only or Yellow & Red to focus on appointments that need attention.
  6. Toggle Large cells for a roomier, easier-to-read layout.
  7. Click Reset to return to the default options.

The appointment dossier

Click any appointment to open its detail panel — a complete briefing so anyone can step in prepared.

The panel pulls together the quick facts (time, provider, operatory, kiosk code, production) plus:

  • Clinical alerts — allergies, conditions, medications, and anything to be mindful of, always shown at the top.
  • Opportunity Window — what every team member should know about this patient, with a step-by-step playbook for the Walk-In (check-in) and Walk-Out (checkout) moments.
  • Insurance Insights — what to tell the patient, what to collect today, what Elva has already handled, and what’s still to do.
  • Doctor’s note, Last interaction, Family, Comfort preferences, and Patient value.
  • Notes — past notes on the patient, with an Add a note box to leave your own.

How to open and read an appointment

  1. In Day view, click the appointment block.
  2. Read Clinical alerts first, then the Opportunity Window playbook.
  3. To leave a note for your team, type in Add a note and save.
  4. Close the panel to return to the schedule.

How to peek at a day from Week or Month

  1. In Week view, click an appointment to open a quick peek, then Open day to jump into that day.
  2. In Month view, click a day to open its peek, then Open day to see the full schedule.
