What these settings are for

Patients should feel like every message comes from your practice, not a generic system. Brand & voice settings give your messages a consistent identity: the right colors on buttons and landing pages, a tone that matches how your front desk talks, and a sign-off that sounds like you. You set them once, and they apply everywhere your recalls reach out.

A live preview shows your choices applied to a sample email, SMS, and landing page as you go.

Brand colors

Your primary and accent colors are used for buttons, highlights, and accents across messages and the patient landing pages.

How to set your colors

  1. Open the Brand & voice settings.
  2. Set your primary color and accent color.
  3. Watch the live preview update to show them on a sample message and landing page.

Tone of voice

The tone setting shapes how your messages read. There are three presets:

  • Warm — friendly and caring.
  • Professional — clear and businesslike.
  • Friendly — relaxed and approachable.

You can also tune the reading level of messages:

  • Simple — short, easy sentences.
  • Plain — everyday language.
  • Polished — a more refined style.

And you can decide whether messages may use emoji.

How to set the tone

  1. Open the Brand & voice settings.
  2. Pick a tone preset, and read its sample to hear how it sounds.
  3. Choose a reading level.
  4. Turn emoji on or off.
  5. Check the preview to see the effect.

Words to use and avoid

You can guide the wording further:

  • Add example phrases that sound like your practice.
  • List words to never use.
  • Set prefer swaps — a word to avoid and the word to use instead (for example, avoid “cancel,” prefer “reschedule”).
  • Add a free-text note with any extra guidance.

Sign-off

The sign-off controls how messages close:

  • Short — a brief close.
  • Medium — a fuller sign-off.
  • None — no sign-off.

How to set the sign-off

  1. Open the Brand & voice settings.
  2. Choose Short, Medium, or None.
